Virtual Landlines & IVR system

What are Virtual Landlines & IVR Systems? How can you benefit from them and implement them correctly?

Virtual Landlines and IVR Systems are both telecommunication technologies that can benefit businesses and organizations in managing and enhancing their communication processes. Here’s a closer look at each concept and how you can benefit from them and implement them correctly:

Virtual Landlines are phone numbers that operate over the Internet through Voice over Internet Protocol (VoIP) technology instead of traditional telephone lines. They offer several advantages for businesses:

Benefits of Virtual Landlines:

  • Portability: You can use the same virtual landline number regardless of your physical location, making it ideal for remote work or businesses with multiple offices.
  • Professionalism: Having a dedicated business phone number improves your professional image and separates personal and business communication.
  • Cost-Effectiveness: Virtual landlines can often be more affordable than traditional phone lines, especially for long-distance or international calls.
  • Advanced Features: Providers typically offer additional features like call forwarding, voicemail, call recording, and integration with other communication tools.

Implementation of Virtual Landlines:

  • Choose a Provider: Research and select a reliable virtual landline service provider that offers the features you need.
  • Number Selection: Pick a virtual landline number based on your business’s location or target audience (local, toll-free, or international).
  • Set Up: Follow the provider’s instructions to set up the virtual landline on your computer, smartphone, or IP phone using their app or web interface.
  • Integrate with Existing Systems: You can integrate virtual landlines with customer relationship management (CRM) tools or other business applications for better communication management.

IVR Systems are automated telephony systems that interact with callers through pre-recorded messages and touch-tone or voice responses. They guide callers through a menu of options and can provide information or route calls to appropriate departments without human intervention.

Benefits of IVR Systems:

  • Improved Customer Service: IVR systems can efficiently handle a large volume of calls, reducing wait times and providing quick responses to common queries.
  • Cost Savings: By automating certain processes, IVR systems can reduce the need for human agents and lower operational costs.
  • Call Routing: IVR can direct callers to specific departments or individuals based on their input or needs, streamlining call management.
  • 24/7 Availability: IVR systems can operate around the clock, providing support and information outside regular business hours.

Implementation of IVR Systems:

  • Define Call Flow: Plan the call flow and menu options carefully, ensuring that callers can reach the right information or department quickly.
  • Professional Voice Recordings: Use clear and professional voice recordings for IVR prompts to enhance the caller’s experience.
  • Integrate with Backend Systems: Integrate the IVR system with your backend databases or CRM to access customer information and provide personalized responses.
  • Regular Updates: Review and update IVR prompts and options regularly to reflect any changes in your business or services.

Both Virtual Landlines and IVR Systems can significantly improve communication efficiency and customer experience for businesses. Implementing them correctly involves selecting the right service providers, tailoring them to your specific needs, and periodically reviewing and refining the setup for optimal performance.

Telephone Answering

What can you come to expect from a telephone answering service? Let’s talk about how to get the most out of your new reception & customer service team.

It goes without saying that you need to be answering your phone if you’re a business owner. However, this is true for every member of staff you have, calls need to be answered and queries need to be handled.

What if you’re not a big company? What if the business is just you or things are just starting out? What’s most important is what do your customers think? Can you trust that if callers don’t get through to you then they are happy to leave a voicemail or listen to the ringing of the phone?

First impressions count a lot in this day and age. While it isn’t a nice thing to admit; many studies have shown that first impressions are long-lasting and say a lot about what kind of business you are dealing with. Nothing could be more damaging to a business than the phone not being picked up.

Now, this can be quite understandable for some businesses out there, especially if they have advertised themselves as solo operations, but only some. The argument can be made that every small to medium business will require some form of front line customer service. The real question that everyone’s asking is what can be gained using a virtual office & telephone answering service?

Treat your virtual office provider as an extension of your business.

One of the first things to know about Flexy Office is that we train staff to be comfortable and confident answering any phone call. They are trained to understand your business and understand your calls. So that you can trust us with making a good first impression and provide continued support.

Secondly, the price for what you need can be very affordable for any business. With some telephone answering packages made for low users just starting off OR established businesses looking to expand. You could be seeing a difference between a service costing £50 per month to employing someone costing up to £1000 per month. Not to mention everything that you need to set up when hiring too!

Your telephone answering service needs you to treat them as one of the team. Keep them in the loop and email often. This way your receptionists will have access to the latest information just as if they were in the office with you. Small details can make the difference between sounding robotic or sounding genuine.

Most importantly it would be wise to write out a sort of FAQ with basic details. This can help out by taking the pressure off you having to answer every query. It can also help your customer service team sound more informed.

Registered Address

The importance of a registered address and why your business needs to be registered with Companies House. It could be the difference between looking established or showcasing yourself as unreliable.

Most business owners will be aware of the importance of registering your company and deciding on whether or not to use a registered address or their home address. While you probably could get away with running your business unregistered for a while. It is always better to stick within the legal guidelines and register your business. Registering your company is the only way for your business to be legally recognised and it is also a requirement when your business grows, employs staff and takes out insurance.

Worth remembering is that you will need to register as an employer as soon as you start employing people once your business grows. The only way you can do this is if your business is already registered on Companies House.

Keeping organised and ensuring that your business is all above board will reduce the stress involved with running a business and help you avoid fines in the future.

At the end of the day, all the hassle of registering your company is well worth the effort when you look at the advantages and freedom that comes with being a business owner.

Any business owner can tell you the importance of Companies House, being a large directory of all businesses operating in the UK. This is normally the place to go when members of the public wish to see if the business is established and registered as a limited company or sole trader.

Using the Companies House website you can look up any company and see if they are registered. With savvy shoppers & business owners in the UK always looking to see if they can trust and do business with a company before proceeding.

Taking the time to get registered could be the deciding factor and determine whether customers will recognise you as established.
